Follow the steps below to learn how to how to submit your timesheet.
Step 1: Log in to your CareLinx account and go to your profile.
Step 2: Scroll to the bottom of the page to locate the facility under ‘My Employers.’
Step 3: Once you click the appropriate Employer/Facility, you will see a section called ‘New Timesheet’ click on ‘Start New Timesheet.’
Step 4: Add shift dates & hours.
Your clock-ins and clock-outs are integrated with your timesheet. You can pre-fill your timesheet using the clock-in/clock-out times using the 'Auto-Create Shifts' option:
a) Select 'Clocks-ins and Clock-outs' from the drop-down menu.
b) If the hours shown are accurate, you can click 'Next' to move on to the next step.
You can adjust your Clock-in and Clock-out times by clicking 'Edit'.
c) For shifts you did not clock in/out for, you can manually add shifts. Use this section to click on the days you worked. Then, select the time you started/ended your shifts.
Tip 💡: Make sure to declare your meal breaks when submitting your timesheet. There are two ways to do this:
Deduct your meal break from the total hours worked.
Include your clock in & out times for your meal break. This can be separated by clicking the ‘Add More Shifts.’
If the hours exceed certain thresholds, we will still pay the extension for the extended hours. When prompted with the over time alert, they just need to choose ‘Don’t fix it for me’.
Tip 💡: Based on the state you are working in, this will tell you whether the hours worked that week qualify you for overtime based on the state labor laws.
Step 5: Add additional expenses.
The system will only calculate your work hours derived from your base pay. To include Hazard, Night, or any Nurse Differential, click the ‘I have expenses to reimburse’ & hit ‘Next: Add Expenses.’
Step 6: Select the date & add the total amount of Nurse Differential.
For this example, $37.5 Nurse Differential is calculated by 7.5 hours x $5 additional
Tip 💡: It is important that you add a detailed note of what the expense was. This will help speed up how fast your timesheet is approved.
Once you have added your shifts, click 'STEP 2: ADD NOTES.'
Step 7: Add Shift Notes. (optional)
You can add a shift note to each day you have worked. Once you have added all appropriate notes, click 'STEP 3: REVIEW'.
Step 8: Review your timesheet.
You may now review your timesheet and make sure that everything is accurate. If you need to make any changes you can click 'BACK TO NOTES". If everything looks accurate, click 'SUBMIT TIMESHEET'.
Tip 💡: You can also click 'SAVE CHANGES' and come back to it at a later time. Remember that in order to get paid, you must submit a timesheet.
Step 9: Confirm your submission.
You will be asked one more time to confirm. Click 'SUBMIT.'
